Who We Are
Unitas Hosting is operated by Unitas Global Ltd, a company registered in England and Wales. We act as the Data Controller for any personal data we collect through this website and through the services we provide.
This policy explains what personal data we collect, why we collect it, how we use it, and what rights you have over it. It applies to our website at unitas-hosting.com and to the hosting, email, domain, and managed app services we provide.
We are not in the business of selling, sharing, or monetising your personal data. Our business model is straightforward: you pay us a monthly fee for hosting services. Your data is your data — we look after it on your behalf, nothing more.
Information We Collect
We collect different types of personal data depending on how you interact with us:
When you contact us
- Name, email address, company name, and phone number (if you choose to provide it)
- The content of your message, including any information you share about your hosting needs
- Technical metadata such as the date and time of submission
When you become a customer
- Billing details (name, billing address, payment method) — payment processing handled by our payment provider, we don't store card numbers
- Domain registration details (registrant name and address as required by ICANN)
- Account credentials (username, hashed password) for accessing your hosting control panel
- Communication history (support tickets, emails)
When you visit our website
- If you have accepted cookies: anonymous analytics data via our self-hosted Mautic instance (page views, referrer, approximate location based on anonymised IP)
- If you have accepted cookies and engage with live chat: data necessary to operate the chat session (via our self-hosted Chatwoot instance)
- If you have declined cookies: no tracking data is collected
How We Use Your Data
We use the personal data we collect only for specific, limited purposes:
- To provide the hosting, email, domain, and managed app services you have purchased
- To communicate with you about your account, including service updates, security notifications, billing, and support enquiries
- To respond to your enquiries when you contact us through the website
- To comply with our legal obligations (tax records, ICANN domain registration requirements, lawful requests from authorities)
- To improve our services based on aggregate, anonymised usage patterns
We do not use your personal data for profiling or automated decision-making, or any form of marketing without your explicit consent.
How Long We Keep Your Data
We retain personal data only for as long as necessary to provide our services and meet our legal obligations:
- Active customer accounts: data retained for the duration of your account plus 7 years after closure (for tax and legal record-keeping)
- Website enquiries that don't result in a customer relationship: 12 months from the date of enquiry, then deleted
- Support ticket history: 3 years from ticket closure
- Backups: 14 days standard retention, longer on bespoke plans
- Cookie consent preferences: 12 months, then re-prompted
Your Rights
Under UK GDPR you have the following rights regarding your personal data:
- Right of access — request a copy of the personal data we hold about you
- Right to rectification — ask us to correct inaccurate data
- Right to erasure — ask us to delete your personal data (subject to legal retention obligations)
- Right to restrict processing — ask us to stop using your data while a query is resolved
- Right to data portability — receive your data in a standard, machine-readable format
- Right to object — object to specific uses of your data
- Right to withdraw consent — for processing based on consent (e.g. cookies)
To exercise any of these rights, email hello@unitas-hosting.com. We will respond within 30 days as required by UK GDPR. We do not charge a fee for reasonable requests.
If you believe we have not handled your data correctly, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk. We'd appreciate the chance to address concerns first if you're willing.
Security
We take reasonable technical and organisational measures to protect your personal data:
- Encryption in transit (TLS) for all communications between you and our services
- Encryption at rest for sensitive data and backups
- Access controls — only authorised Unitas team members can access systems holding personal data
- Regular security updates and monitoring of infrastructure
- Isolated single-tenant architecture where possible (no shared databases between customers)
No security measure is perfect. If a data breach occurs that affects your personal data, we will notify you and the ICO within 72 hours as required by UK GDPR.
International Data Transfers
Our primary infrastructure is hosted within the European Union — a jurisdiction with adequate data protection under UK GDPR. Email delivery uses Amazon SES in the eu-west-2 (London) region, within the UK.
Some of our third-party providers (e.g. billing platforms) may transfer data to other jurisdictions. Where this happens, we ensure adequate safeguards are in place — typically via Standard Contractual Clauses or equivalent UK GDPR-approved mechanisms.
If you require UK-only data residency for compliance reasons (e.g. financial services, healthcare), this is available on bespoke plans — please contact us to discuss.
Changes to This Policy
We may update this Privacy Policy from time to time, particularly when our services change or when legal requirements evolve. The 'Last updated' date at the top of this page indicates when changes were last made.
For material changes that affect how we process your personal data, we will notify active customers by email at least 30 days before changes take effect. For minor updates (clarifications, formatting), we simply update the page.
